BOARD OF DIRECTORS NOMINATIONS & ELECTIONS

GENERAL EXPECTATIONS

TERM: CMBAM Board of Directors members will begin their term on January 1, 2025. Programming-Elect is a one-year term that becomes Programming Director the following year. Student Director is a one-year term. All other director terms are two-years in length.

BOARD RETREAT: All board members are required to attend the annual board retreat (virtually) in late summer.

MEETINGS & COMMITTEES: Board members are expected to attend a weekly conference call, and additional committee meetings (as needed) for planning and strategic development.

TRAVEL & CONVENTIONS: Board members are expected to attend the annual CMBAM convention. CMBAM will cover all travel and lodging expenses related to these requirements.

ONGOING PROGRAMMING & CONTENT: Board members will collaborate with committees and CMBAM membership to create online webinars and training opportunities throughout the year.

Election Schedule

Nov. 13 – Nomination deadline

Nov. 20 – Candidate forum during online business meeting

Nov. 20 – Voting opens

Nov. 27 – Voting closes

Jan. 1 – Terms begin

President

Two-year term

  • Supervises, directs, and promotes the goals and objectives of the organization
  • Serves on the Executive Committee
  • Presides at all CMBAM functions, meetings, and events
  • Serves as primary ambassador and representative of CMBAM to outside organizations
  • Appoints audit committee of at least two individuals from CMBAM membership to serve off-setting two-year terms
  • Appoints the election committee chair to oversee annual and special elections
  • Casts the tie-breaking vote
  • Prepares and schedules all meetings, including conference calls; establishes meeting agendas
  • Coordinates approval of budgets and expenditures with assistance from the Secretary/treasurer and Vice President Membership
  • Recommends the creation of new committees to the board, as needed; works with board members to appoint committee members
  • Maintains the official policies and procedures manual
  • Develops annual budget, with input from the board, by September 1
  • Provides the organization report at the annual business meeting
  • Contributes regular content to CMBAM.org
  • Maintains articles of incorporation (to be filed every 10 years)
  • Ensures completion of all board duties
  • Recruits members and convention vendors

Secretary/Treasurer

Two-year term

  • serves on the Executive Committee
  • prepares an annual budget and submits it to the Board of Directors for approval
  • prepares and signs checks for payments and reimbursements
  • deposits checks
  • invoices member media organizations for dues
  • collects convention registration fees
  • arranges all credit card processing for membership dues, vendor dues, and convention fees
  • maintains appropriate record-keeping for expenditure requests, approvals, purchases and reimbursements
  • works with executive committee to file annual tax return documentation
  • records and publishes agendas and minutes for all meetings
  • provides minutes and financial reports for the annual business meeting
  • conducts membership roll call at the annual business meeting
  • provides quarterly financial reports to the board and audit committee
  • recruits professional members and convention vendors
  • other duties as assigned by the President

Communications Director

Two-year term

  • creates and maintains any and all CMBAM websites and social media accounts
  • develops fresh, relevant content on all websites and social media accounts in conjunction with other CMBAM Board and committee members
  • chairs the Marketing and Communications Committee
  • assists in the creation and execution of marketing initiatives
  • coordinates broadcasting of CMBAM events
  • oversees and coordinates the publication of content to CMBAM.org and member communications
  • oversees hosting of CMBAM website and listserv
  • submits a proposed communications budget to the board by August 1
  • recruits members and convention vendors
  • contributes regular content to CMBAM.org
  • other duties as assigned by the President

Education Director

Two-year term

  • Promote, organize and coordinate professional and technical development of members through digital resources, online certifications and external presentations
  • Works with the Programming Director and Programming Director-Elect to execute a comprehensive programming strategy
  • Manages digital resource library
  • Evaluates digital resource library and works with membership and professionals to create and maintain industry-leading information
  • Coordinates with Communications Director and Awards and Recognition Director to incorporate best of awards entries into library
  • Works with President to create appropriate programming and educational partnerships with other college media industry organizations
  • Serves on the programming committee
  • Contributes regular content to CMBAM.org
  • Other duties as assigned by the President

Programming Director-Elect

The individual elected to this position will serve two years on the board, one year as programming director-elect and one year as programming director. The programming director-elect will work with the programming director on the following responsibilities.

  • Promotes, organizes and coordinates professional and technical development of members through workshops, events and informational programs
  • Attends and serve as co-coordinator of CMBAM annual convention, including venue, dates, content, and logistics, subject to board approval
  • Manages convention registration
  • Collaborates with programming committee
  • Develops and maintains programming related relationships with allied media organizations and product vendors

STUDENT DIRECTOR

Two student directors will be elected to serve on the board for one-year terms. They will collaborate on the following responsibilities.

  • Engages with students throughout the year during and months leading up to convention via social media and CMBAM.org
  • Serves on the Programming Committee.
  • Creates and maintains a directory of current students of member organizations
  • Gathers emails of student attendees upon registration to begin communication of CMBAM announcements and facilitate student Slack platform
  • Recruits students for, and serves as chair of, CMBAM Student Advisory Board and effectively communicates/delegates roles to bring more value to student involvement
  • Presents the “Issues Facing Student Managers” session at the annual convention
  • Contributes regular content to CMBAM.org
